Bilingual English/Spanish required.<br/><br/>Reports to:<br/> Human Resources Manager.<br/><br/>Examples of Duties and Responsibilities:<br/> • Answers phones and helps internal and external customers who come into the HR office;<br/> • Review and update callout records daily and relay absence calls to appropriate supervisor;<br/> • Photocopies, posts and removes Internal Job Opening postings, and Employee Bulletins;<br/> • Prepare new hire paperwork to include all documents that require actual signatures;<br/> • Process all new hires on first day to include confirming new employees have completed their Onboarding documents in Dayforce, creating identity badges, issuing parking permits, and documentation check;<br/> • Process all new temporary employees and enter them into Dayforce. Create identity badges and parking permits as appropriate.<br/> • Files all I9’s and Documents in Binders and maintains the binders on a weekly basis;<br/> • Assist employees with kiosk-based training completion and Dayforce-related requests;<br/> • Upload disciplinary action incidents into HCM platform;<br/> • Administers the Work Apparel program;<br/> • Verifies invoices and sends to Accounts Payable department;<br/> • Monitor inventory of departmental office supply cabinet and order supplies, as supplies run low;<br/> • Pick up, sort and distribute incoming departmental mail, and deliver outgoing departmental mail to the mailroom;<br/> • Manage 1-year Anniversary Program in conjunction with HR Supervisor;<br/> • Regular punctuality, attendance, and absence reporting in conformance with company policies is essential to the successful performance of this position; and<br/> • Fully comply with company rules, policies, procedures, and safety guidelines to ensure safe and effective operations.<br/><br/> • Primary backup person for the following activities:<br/> • Coordinate all interviews, notifications, and hiring administrative functions;<br/> • Review and submit timecards to each perspective staffing agency;<br/> • Record hours on Temp log; save timecards to HR Share drive<br/><br/>QUALIFICATIONS GUIDELINES:<br/> Any combination equivalent of, but not limited to, the following:<br/><br/>Experience/Training/Education:<br/> Equivalent to high school graduation with at least 1-2 years of clerical experience, preferably within a manufacturing environment.<br/><br/>Knowledge/Skills/Abilities:<br/> • Working knowledge of office administration and recordkeeping practices, procedures and privacy regulations;<br/> • Ability to organize and file records alphabetically, numerically, and chronologically;<br/> • Ability to maintain detailed and accurate records;<br/> • Ability to work coopera tively with others and communicate effectively with co-workers, applicants and employees;<br/> • Ability to maintain privacy and confidentiality of personnel and payroll data;<br/> • Ability to type at a speed of 45 words per minute;<br/> • Ability to operate personal computer and standard office equipment;<br/> • Proficient in MS Word, Excel, and Outlook software applications;<br/> • Ability to speak, read, and write accurately and fluently in English and Spanish; and<br/> • Ability to follow oral and written instructions;<br/><br/>Physical Requirements:<br/> • Ability to occasionally lift and/or carry boxes of office supplies, files, etc. up to 15 lbs.;<br/> • Ability to stretch, bend, and stoop;<br/> • Ability to drive an electric cart throughout the facility;<br/> • Most work tasks are performed indoors where the temperature is moderate and controlled by office environment systems;<br/> • Ability to work (sit and/or stand) at a desk for the majority of the workday; walking and/or standing may be required for the remainder of the workday.
